Privacy Policy

Bookwire (“Bookwire,” “we,” “us,” or “our”) provides job-dispatch and booking software for trade-service businesses (the “Service”). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Information we collect
Account information you provide when you create or are added to a Bookwire account: your name, mobile phone number, and role (owner, dispatcher, or technician).
Operational data generated by using the Service: bookings, job details, assignments, ratings, and activity logs.
Device and usage information, such as app version and basic diagnostics.
How we use your information
We use your information to provide the Service and your account, to authenticate you using a one-time login code sent by SMS, to send you operational notifications (for example, booking alerts) by SMS and/or push notification, and to maintain security and prevent abuse.
Connecting your calendar (Google, Microsoft and Apple)
Connecting a calendar is optional. Bookwire works without one. If you choose to connect one, we ask only for the access needed to keep your booking page honest about when you are free.
What we read. From Google we request free/busy information only — the start and end times you are unavailable. We do not receive the titles, descriptions, locations, attendees or notes of your existing events. From Microsoft and Apple we read the start time, end time and busy/free status of events in the calendars you select. We store only the resulting busy time ranges, so that your booking page keeps working during a brief outage at your calendar provider.
What we write.When a customer books a call, we add a single event to the one calendar you choose, containing that customer’s name, phone number, job description and ZIP code so you have the details to hand. If the call is cancelled, we delete that event. We never modify or delete anything else on your calendar.
Which calendars. You choose which of your calendars we check, and which one receives your booked calls. You can change this or disconnect entirely at any time from the Schedule tab of your Bookwire dashboard. Disconnecting deletes the stored access credentials and the cached busy times immediately.
Limited Use.Bookwire’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to serve advertising, we do not sell it, we do not transfer it to third parties except as necessary to provide the Service or to comply with the law, and we do not allow humans to read it except with your explicit consent, for security purposes, to comply with the law, or where the data has been aggregated and anonymised.
Calendar access credentials are encrypted at rest and are never shown in the browser or shared with any other business on Bookwire.
How we protect your data
Security procedures are in place to protect the confidentiality of your data, and we use encryption to protect your information. In practice that means the following.
In transit.All traffic between your browser, your customers’ browsers and Bookwire is served over HTTPS.
At rest. Calendar access credentials are encrypted with AES-256-GCM before they are stored, in addition to the encryption applied by the infrastructure providers that host our database. Those credentials are never returned to a browser, never written to our application logs, and are never shared between businesses using Bookwire.
We hold as little as possible.From your calendar we store only busy time ranges — the start and end of periods when you are unavailable. We do not receive or store event titles, descriptions, locations, attendees or notes, because the permissions we request do not return them.
Retention. Busy times are cached only so your booking page keeps working during a brief outage at your calendar provider, and any cached reading older than 12 hours is discarded rather than relied on. Other account and booking data is kept while your account is active and for as long as needed to provide the Service, and is deleted or destroyed when it is no longer needed for that purpose.
Deletion and revocation.Disconnecting a calendar from the Schedule tab of your dashboard revokes Bookwire’s access with your calendar provider and deletes the stored credentials and cached busy times immediately. You can also request deletion of your data by emailing emilio@mybookwire.com.
SMS / Text messaging
When you provide your mobile number and tap “Send code” (or are added to a team and sign in), you agree to receive text messages from Bookwire, including account login codes (one-time passcodes) and booking and job alertsrelated to your business’s operations.
Message frequency varies based on your account activity. Message and data rates may apply. You can opt out of SMS at any time by replying STOP to any message; reply HELP for help. Opting out of operational SMS may limit your ability to receive time-sensitive job alerts.
We do not sell, rent, or share your mobile phone number or your SMS opt-in information with any third parties or affiliates for their own marketing purposes. Phone numbers are used only to operate the Service as described in this policy. Message and data rates are set by your mobile carrier, not Bookwire.
Sharing of information
We share information only as needed to operate the Service — for example, with infrastructure providers that host our database and deliver messages on our behalf (such as our cloud database provider and our SMS delivery provider). These providers process data under contract and only to provide their service to us. We do not sell personal information.
Data retention
We retain account and operational data for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements.
Your choices
You can opt out of SMS by replying STOP, and you can request access to or deletion of your account data by contacting us.
Children’s privacy
The Service is intended for businesses and is not directed to children under 13.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the “Effective date” above.
